How to Grant and Revoke Contractor Access in 60 Minutes Using Conditional Access 

In practice, managing contractor access can quickly turn into a security headache. You need to get people working fast, but rushed setups often lead to shared passwords, overly broad permissions, and accounts that never get cleaned up. 

That creates a dangerous trade-off between convenience and security — and security usually loses. Forgotten contractor accounts (often called ghost accounts) are a favourite target for attackers. 

Fortunately, this doesn’t take weeks to set up. You can fix this with Microsoft Entra Conditional Access, and it doesn’t take weeks to set up. In around an hour, you can create a system that grants precise access and automatically revokes it when work ends. 

Why Automated Contractor Access Matters 

This isn’t just an IT issue — it’s a financial, legal, and compliance risk

When access removal relies on someone remembering to do it manually, mistakes happen. Dormant contractor accounts with lingering permissions often go unnoticed, giving attackers a quiet way into your systems. 

A well-known example is the Target data breach, where attackers gained entry through compromised third-party contractor credentials. Access that should have been limited and time-bound allowed attackers to move further into the network. 

Automating contractor access enforces the principle of least privilege and shows due diligence for audits under regulations like GDPR. It turns a high-risk manual task into a controlled, repeatable process.

Step 1: Create a Dedicated Contractor Security Group 

Start by organising access centrally. In the Microsoft Entra admin centre, create a new security group with a clear name such as External-Contractors or Temporary-Access

This group becomes your single control point: 

  • Add contractors when they start 
  • Remove them when their work ends 

No individual rules. No exceptions. This alone reduces the risk of forgotten access. 

Step 2: Build a Set-and-Forget Expiry Policy 

Next, create a Conditional Access policy assigned to your contractor group. 

Key settings to apply: 

  • Enforce Multi-Factor Authentication (MFA) 
  • Set a sign-in frequency (for example, 90 days) 

Once a contractor is removed from the group, they can no longer re-authenticate — Conditional Access automatically revokes access when you remove a contractor from the group.. No manual cleanup required. 

Step 3: Restrict Access to Only What’s Needed 

Contractors rarely need full access to everything. A writer may need SharePoint, but not finance systems. A developer may need staging servers, but not HR tools. 

Create a second Conditional Access policy that: 

  • Allows access only to specific apps (Teams, SharePoint, Slack, etc.) 
  • Blocks everything else 

This acts like a firewall around each contractor account, dramatically reducing your attack surface. 

Step 4: Strengthen Authentication Without Adding Friction 

You can add further protection without managing contractors’ personal devices. 

Conditional Access allows you to: 

  • Require phishing-resistant authentication (such as Microsoft Authenticator) 
  • Combine conditions using “OR” logic so access stays practical 

This makes credential theft far harder while keeping onboarding smooth. 

Step 5: Let Automation Do the Work 

Once everything is configured, the system runs itself: 

  • Contractors gain access the moment they’re added to the group 
  • Access is instantly removed when they’re taken out 
  • The system automatically terminates active sessions.
